In preparation for the upcoming holiday break, Sponsored Programs Administration (SPA) is providing the following reminders to help you prepare your proposal and award activities during this time.
As with other university offices, SPA will observe the university holiday closure schedule. To provide the highest level of support during the busy holiday season, our SPA teams have identified the following timelines.
- Pre-Award
Contact your Proposal Coordinator right away if you are considering a proposal that will be due during the closure or through January 15, 2023. It is better to contact us even if you are not certain of your submission plans.
If you are already working with SPA, your proposal will continue to receive agreed-upon assistance and will be submitted on or before the deadline.
Proposals received after December 7 will be considered for submission based on existing pre-award volume and your proposal’s complexity.
Proposals received after December 14 will be subject to AVP approval. Exceptions are unlikely and will be reviewed with your college or division.

- Award Acceptance
If you need to set up an advance account, make non-financial changes to your current award (e.g., submit a no-cost extension), or submit a progress report, please contact SPA at asosp@niu.edu by December 7, 2022. Requests received after this date will be reviewed on a first-in, first-out basis. - Award Management
If you need to spend grant funds, including hiring, payroll or purchasing, please contact your assigned grants and contracts associate by December 7, 2022. Requests received after this date will be reviewed on a first-in, first-out basis.
See the HRS calendar for important payroll and other personnel deadlines. All requests received by SPA after Friday, December 16, 2022, may not be reviewed until after the holiday break.
Your assistance with these timelines will help our teams in planning workloads before and after the break to best meet your program’s needs.
